Creating an Access Request

You can request to download selected documents for yourself and/or other users.

Once the request is approved, you can download all the connected documents. When a request reaches its expiration date, the system automatically promotes it to the Expired state and you can no longer download the documents. The request reviewer can also expire the request at any time while the request is in the Approved state.


Before you begin: View a documents page or classified items page.
  1. Check the documents you want to download.

  2. Select Request Download Access from the page Actions menu or page toolbar.



  3. Enter the request details:

    Field Name Description
    Name Type a name for the request, or check AutoName to have the system assign a name. By default, automatically-named requests are suffixed with a number starting with 5000, for example, AccessRequest-0005000.doc, AccessRequest-0005001.doc, etc.
    Documents Requested This read-only field shows the names of the selected documents.
    Reason for Request Type the reason you are requesting download access.
    Include Self If you are requesting access only for other users, click No; otherwise leave the default of Yes.
    Members Click to select other users to be granted download access. For example, this could be used by a team leader to request download access for the entire team.

  4. Click Done.
