Listing Resource Plans

A resource plan for a project shows the people associated with a project and the monthly resource plan. A project can only have one resource plan.


Before you begin: Select the Resource Plan link under a project.
  1. From the Categories menu for a project, click the Resource Plan link

    The page displays resource requests that a Project Lead has created to acquire the resources needed to complete projects. Under each resource request the resources are listed:

    For each resource request (indicated by ), the page lists these columns:

    Name. The name of the resource request.

    . Indicates that resources are assigned to the request. Hover over the icon to see the names of the assigned resources.

    State. The state of the resource request. Values can be Create, Requested, Proposed, Committed, and Rejected. Only a Project Lead has access to the Create and Rejected states. Once a Project Lead submits the resource request, it enters into the Requested state for further processing by the Resource Manager.

    Project Role. The preferred project role associated with the resource.

    Skills. The preferred skill of the resource.

    Resource Pool. The resource pool to which the resource request is made in order to acquire the resources.

    Std Cost/Hr. The standard cost per hour for this request..

    . Icons respectively for New Window, Discussion and Subscription.

    [Timeline]. For the FTE filter, this shows how many days the resource is required. For the Costs filter, this shows the hours multiplied by the rate. Depending upon the settings in the Properties file, it can be shown in Weekly, Monthly or Quarterly format. This is a one-time activity.

    Total. The total days the resource is required.

    For each resource person (indicated by ), the page lists these columns:

    Name. The name of the resource that the Project Lead has requested.

    State. The state of the resource. Values can be Requested, Proposed, Committed, and Rejected, depending upon the state of the resource request. However, a resource request in the Create state has resources in the Requested state.

    Skill. The skill associated with the resource, which may be different from the skill specified on the resource request.

    Resource Pool. The name of the resource pools that contain the resources. If the same resource exists in more than one resource pool, multiple names can be listed.

    [Timeline]. For the FTE filter, this shows how many days the resource is required. For the Costs filter, this shows the hours multiplied by the rate. Depending upon the settings in the Properties file, it can be shown in Weekly, Monthly or Quarterly format. This is a one-time activity.

    Total. The total days the resource is required.

  2. Change the Status to filter the resource plan table:

    Open. Displays all resource requests in Create and Rejected states.

    Committed. Displays all resource requests in the Committed state. These are the resources committed to the project by the responsible Resource Manager.

    All. Displays all resource requests in any state. This is the default view.

    Rejected. Displays the resource requests that have been rejected by the responsible Resource Manager.

  3. Change the FTE/Hours/Costs filter. A property setting determines whether you can toggle using FTE or Hours. You can add and edit number of people values either in FTE or Hours.

  4. Change the View by Timeline/View by Phase filter.

    In Timeline mode, the resource plan timeline is shown in the project's timeline.

    In Phase mode, the resource plan timeline is defined from the project phases. You can create a resource plan from phases. See Creating a Resource Request for Phases.

  5. To edit the entries, click Edit on the toolbar and make any changes to editable fields.

  6. Use the Actions menu on the page toolbar to work with the resource plan.

    Create Resource Plan has several sub-options which are different for Timeline and Phase views:

    Create Resource Request. Creates a resource request. See Creating a Resource Request by Timeline. Available in Timeline view.

    Create From WBS. Creates a project resource plan using the WBS as a starting point. Available in Timeline view.

    Create From Clone. Clones a resource plan from an existing resource plan. The FTE value of the cloned resource request will be set to the default value "1". Available in Timeline view.

    Resource Plan Preferences. Sets the default value for the page view to either Timeline or Phase. See Setting Resource Plan Preferences. Available in both Timeline and Phase views.

    Create From Phase. Creates a resource request when a resource plan is defined in phases. See Creating a Resource Request for Phases. Available in Phase view and when the resource plan preference is set to "Phase" and at least one phase exists.

    Requests has three sub-options:

    Copy. Creates a copy of a resource request.

    Submit. Submits the selected resource requests. The selected requests will be changed to the Requested state and a notifying email will be sent to the Resource Manager.

    Delete. Deletes the selected resource request(s).

    Resources has two sub-options:

    Add. Adds a specific person to the request.

    Remove. Removes a resource which is in any state except Requested or Proposed.

    Discussion has two sub-options, which become active only when a resource request is selected:

    Create Private. Creates a private discussion.

    Create Public. Creates a public discussion.

    Subscription has two sub-options:

    Push. Allows users to push a subscription to users other than themselves who are project members.

    Subscribe. Allows users to subscribe to the resource request for different activities.

    Assign Resource Pool Standard Cost. For a request in Create or Rejected state, this option can assign the standard cost defined for the resource pool.
