Starting a Workflow

When creating a workflow, you can start it immediately or wait to start it later. If you created a workflow but did not start it, you can edit it as needed and start it when ready. Workflows that you create but do not start have a state of Not Started. Once started, the workflow state is Started. Only the workflow owner can start the workflow.

When the workflow is started, then the first-level tasks are created and added to users' tasks list. If the workflow is suspended, all the connected active tasks are also suspended, meaning that assignees cannot upload or update any deliverables and cannot complete the task. When the workflow is resumed, all suspended tasks are resumed. If the workflow is stopped, connected tasks are not deleted. When the workflow is subsequently restarted, then the connected tasks including completed tasks are deleted.

  1. Check the workflow you want to start.

  2. Select Start from the page Actions menu or toolbar.

    The system changes the workflow to the Started status and creates each task that has an order number of 1. The task recipients will see the task listed in their tasks list and they will receive IconMail notification that the task is pending. If the task is assigned to a group or role, all people assigned to the group or role receive the notification and can access the task.

    When all tasks are completed, the system changes the workflow status to Finished and notifies the workflow owner that the workflow is complete. See Processing Completed Workflows.
