About Attached Documents

The Attachments category lets you manage documents related to that quotation or line item. A document can contain any number of files.

Quotation Central uses the Common Document Model to manage files in attached documents. See Documents and Content for details on working with documents, including downloading, checking in and out, locking, and updating.

You work with documents that can be opened in 2D viewers the same was as any standard document. For information on adding 3D files, see the Team Central User's Guide.

Item Attachments

The type of item and its lifecycle status determines who can work with the attachments. For example, only suppliers can add and remove attachments for a quotation and only when it is in the Open state.

Note: The host company can change some of these constraints. For example, suppliers could be allowed to add documents to quotations when they are in the Review state.

Almost every item managed by Quotation Central can have documents attached to it, including quotations, line items, and parts. Generally, you must be the owner or co-owner of the item to attach a document to it. Non-owners might also be able to attach documents if they are given additional access to the item.

People who can attach documents to an item can add a new version of any files contained in the document by checking in and updating the file. To do so, you must have previously checked out the file (which locks it), and the new version of the file must have the same file name as the existing version.

If you use the Attachments category to check in a new version of a file that is also in a workspace, the new version is also added to the workspace folder.

You can attach documents from:

  • a local disk using the Upload or Check-in action. See Updating a File.
  • any workspace folder that you have access to.

When a workspace document is added to Quotation Central:

  • The workspace access definitions take precedence over Quotation Central. Only people with Read access to the document from the workspace can view and download it.
  • The document cannot be edited (locked for edit or a new version checked in) from an Quotation Central Attachments page. Even if you have Read Write access to the document, it must be edited through the Files page opened via the workspace (and any workspace Folders).

When you add a document from a workspace to an item in Quotation Central, the system adds the latest version of the document. If someone subsequently checks in a new version of the document into the workspace, the system automatically attaches the new version to the item in Quotation Central.

About Checkin and Checkout

The Actions column on the Attachments page defines what you can do for that file at that time.

Quotation Central provides methods for moving files from the ENOVIA system to your computer:

  • Checkout or the Checkout menu item to check out files and lock them for editing (prevents anyone else from checking in or locking the files). If you do not see this icon, someone has the files currently checked out and locked, or you do not have permission to check out the files.
  • Download or the Download menu item to copy the file to your computer without locking. You can download files even if someone has them locked. See Saving an Attached Document to Disk.

Quotation Central provides methods for moving files from your computer to the ENOVIA system:

  • Checkin Files or the Upload Files(s) menu item to check in new files
  • Checkin or the Update Documents menu item to check in updated versions of files. You can only update files if you previously checked out and locked the document object. If you do not see this icon, you need to check out and lock the file first.

If you do not see any of these icons for the document, then you don't have access for editing the item or the item's state does not allow editing.
