Searching for Quotations

You can search for quotations created for your company and then view details about them.

You only need to enter criteria for those fields pertinent to what you are searching for. For any field that you do not want to enter specific criteria, use the * for the field value.

You can enter criteria to find the quotations you need.

  1. From the global toolbar, click Search > Sourcing > Quotations.

  2. To search for a quotation based on attributes not shown in this dialog:

    1. Click More. The listed fields are removed.
    2. Enter search criteria for these basic attributes if needed:

      Created After. Enter a value to find a quotation created after a specific date. Use the calendar tool to select a date.

      Created Before. Enter a value to find a quotation created before a specific date. Use the calendar tool to select a date

  3. Enter criteria for any of these fields:

    Search In. Choose to look within these sets of quotations:

    • Quotations I Own. Search for quotations assigned to you only.
    • All Quotations. Search for all quotations you have access to.

    Buyer Company. Select All or the name of a buyer company from the drop-down list.

    Workspace Folder. Click Browseto narrow the search to quotations in a specific workspace folder; see Selecting from Lists.

    RFQ Name. Enter the name of the RFQ the quotation responds to.

    Created After. Enter a value to find an package created after a specific date. Use the calendar tool to select a date.

    Created Before. Enter a value to find an package created before a specific date. Use the calendar tool to select a date.

  4. Use the Limit to text box to specify how many items should be shown in the search results. For example, if you limit the results to 50, the system will get only the first 50 items from the database that match your criteria. The maximum is by default 1000, but may vary depending on your installation setup.

  5. Check Paginate results to show the results with a limited number of items per page, based on your defined pagination preference.

  6. If you want, use the page toolbar buttons to save the search criteria. See Saving Searches.

  7. If needed, use the Search Types menu to select a different type of search. The searches in this menu are the same as those accessed from the global Search menu.

  8. Click Search.

Use Search Results: Quotations

The results page lists the quotations that match your search criteria.

  1. In the search dialog box, enter criteria and click Search.

    The search results contain these columns:

    Quotation. The name of the quotation; click to view its Properties page. See Viewing Details for a Quotation.

    State. The current lifecycle state of the quotation .


    • Open. The quotation has been received and you can enter values for attributes. This state is the only state where changes can be made.
    • Review. Quote details have been entered and the Supplier Engineer has submitted the quotation to internal reviewers. If any changes need to be made, the owner/co-owners must demote the quotation to the Open state.
    • Returned. The Supplier Engineer has returned the quotation to the buyer for evaluation. You can view the quotation and its related information, but no changes can be made.
    • Closed. The buyer has finalized the awards. The buyer can choose to notify all suppliers of the outcome, only awarded suppliers, or to delay notification.
    • Suspended. The Buyer may be making changes to the RFQ, removed your company from the RFQ, or cancelled the RFQ. You cannot work on the quotation. Depending on the Buyer's intentions, you may receive a new round of the quotation.

    Buyer Company. The buyer company that issued the RFQ that this quotation responds to. Click to view the RFQ for this buyer company. See Viewing Details of an RFQ.

    RFQ. The name of the RFQ the quotation responds to. Click to view the RFQ for this buyer company in a new window. See Viewing Details of an RFQ.

    Date Originated. The date the quotation was created.

    Actual Response Completion. The date the quotation response was completed (the quotation was returned to the buyer company).

    Owner. The person who owns the quotation.

    Package. The name of the package that contains the RFQ (if any).

  2. To change the search criteria, click Revise Search.

  3. Click Close.
