Viewing Information About a WBS or Project Task

You can view information about any of the WBS tasks assigned to you or any of the tasks in projects that you can view.


Before you begin: If the task is assigned to you, view your WBS Tasks; see Listing WBS Tasks Assigned to You or If you are a member of the project, view the project WBS; or If you have company access to the project, search for the project; see Searching for a Project or If the task is in a project template, view the WBS for the template; see Viewing and Editing the Project Template WBS.
  1. From the Work Breakdown Structure page, click the Task Name for the task you want to view. If the task is a subtask, use the expand or filter tools on the page to display it.

  2. From the Categories menu, click Properties.



    This page lists these details about the task:

    The Basic Information page for a project template's WBS does not contain any information related to task dates, status, owner, or % complete. For more information, see About Project Templates.

    Project Space Name. The name of the project the task is assigned to.

    Task Name. The name of the task.

    Policy. The name of the policy that govern's the tasks' lifecycle.

    Owner. The person assigned as the task owner.

    Brief Description. The description entered by the Project Lead or task assignee.

    State. A task can be in one of the following states. For more information, see WBS Task Lifecycle.


    • Create. The task has just been created and an assignee specified. When a Project Lead is ready for work to begin on a WBS task, the Lead promotes it to Assign.
    • Assign. The system notifies assignees.
    • Active. The assignees have begun work on the task. The system automatically promotes a task to Active when the % Complete is changed from 0% to any percentage less than 100.
    • Review. Project members are reviewing the task and its deliverables. When 100% is entered for % Complete, the system automatically promotes the task to Review. Typically, an assignee creates a route to have route members review the task.
    • Complete. The task is complete. The system automatically promotes a task to Complete when an assignee or Project Lead enters an Actual Finish Date.

    Creation Date. The date the task was created.

    Estimated Start Date, Finish Date, and Duration. The date the task should be started and should end by. The duration is the number of days (d) or hours (h) between the start and end dates.

    Constraint Type. The type of constraint for this task, which specifies when the task should be completed within the project. For example, values can be "As Late as Possible", "As Soon as Possible", "Start No Earlier Than", "Finish No Earlier Than", "Start No Later Than", "Finish No Later Than", "Must Finish On", or "Must Start On".

    Constraint Date. Constraint Types other than "As Soon as Possible" or "As Late as Possible" have a constraint date.

    Actual Start Date, Finish Date, and Duration. The actual start date is the date the task was promoted to Active. When a task's % Complete value is set to anything above 0%, the task is automatically promoted to Active.

    The task assignee or Project Lead should enter an Actual End Date for the task after it has been approved by reviewers. When an end date is entered, the system promotes the task to Complete. If the task is manually promoted to Complete, the system automatically enters the current date as the Actual End Date. Additionally, a route can be created to get approval from reviewers and then promote the task when the route is finished.

    The Actual Duration is the number of days between the actual start and end dates.

    Calendar. The calendar associated with this task. Only a Project Lead can click the name to view the events in the Calendar.

    Project Role. The role assigned to complete the task.

    Estmated Duration Keyword. A keyword which specifies the estimated duration for the task.

  3. Use the page Actions menu or toolbar to work with the tasks:

    Edit. Edits details for the task. See Editing Basic Information for a Task.

    Task Preferences. Enables/disables the sending of approval and effort notifications. See Setting Task Preferences.
