Working with a Folder

You can work with the subfolders in a folder and view a folder's access privileges, discussions, and properties.


Before you begin: View the list of folders for a project. See Listing Folder Content.
  1. Click the Name of the folder on the folders structure browser.



    For each subfolder, this page lists these details:

    Name. A tree structure that displays the name of the subfolder, document, and file name. Click "+" to expand the subfolder to see its documents, files, subfolders, and bookmarks. Click a subfolder name to see its Content summary page. Click a document or file name to see its properties.

    [Lock]. This column consists of two numbers expressed as m/n. "m" is the number of files locked/checked out; "n" is the number of files checked in.

    Type. The type of object. For a subfolder, "Workspace Vault" indicates a simple subfolder; "Controlled Folder" indicates a revisionable controlled subfolder.

    Title. The title of the object. For documents, this is the title text if entered during creation; otherwise, this displays the default document object name.

    Action. Select one of the following actions on an object:

    Download

    Download one or more files to your local machine. Browse to the directory or folder you want to contain the file. Multiple files are downloaded in a single zip file.



    View

    View the file in a registered viewer.



    Check Out and Lock

    Check out one or more files to your local machine and lock the files from other users who cannot unlock it. Navigate to the folder or directory you want to contain the file.



    Check In

    Check in and unlock one or more files.



    Locked

    Lock the file without checking it out. Shows the person who locked the file and the date locked.



    Unlock

    Unlock the file without checking in a new version.



    Subscribe

    View and select subscriptions for a document. See Working with Subscriptions.



    Add New Files

    Add new files to a document.



    Bookmark

    Launch the defined URL for a bookmark.

    Rev. The revision for controlled subfolders and documents.

    Ver. For document objects only, this is the total version number for a single file. For multiple files, click the version icon to view the file versions.

    Description. The description of the object.

    State. The current lifecycle state of the object.

    File Size. For files only, this is the file size.

    Owner. The project member who owns the object.

    Last Modified. The date on which the object was last modified.

    . For a subfolder, clicking this icon opens a separate page to view subfolder details.

  2. Use the page Actions menu or toolbar to work with the content:

    Create New. Creates a new document. See Creating a New Document.

    Upload Files. Uploads files. See either Uploading Files with the Applet or Uploading Files without the Applet.

    Add Existing. Adds existing objects to the page. See Choosing Items by Selecting from a List.

    Remove. Removes a document from the page. The document is removed from the list. If the document is referenced by another object, such as a task or specification, it is not deleted. If it is not referenced by any other object, the document is deleted from the database.

    Download. Downloads the files in the selected document object to your machine.

    Checkout. Checks out the files in the selected document to your local machine and locks the files.

    Add to Folder. For a folder content list only, adds selected content to a different folder; see Adding Content to Another Folder.

  3. To cut and paste content from one folder to another folder in the same project:

    1. Click Enable Edit.
    2. Select one or more folder objects that you want to move (cut). You can cut and paste different types of objects at the same time. For example, you can cut a folder and a document and paste them into another folder. For cutting/pasting a folder see the next step.
    3. Click Edit > Cut.
    4. Select the folder object for which the cut object(s) will be moved above or as a children objects.
    5. According, click Edit > Paste as Child or Edit > Paste Above.

    Pasted rows display in green if the row was cut from a different parent object. Rows display in orange if the pasted rows were cut from a different location in the list belonging to the same parent object.

    Note: You cannot cut any objects in a controlled Folder that has been released.

    Note: Individual files cannot be cut; document objects containing files can be cut.

  4. To cut and paste a folder to another location in the same project:

    1. Click Enable Edit.
    2. Select the folder you want to move (cut). If a folder has any sub-folders they will be moved as well. When a parent folder is moved, all of its child folders and content are moved with it as well.
    3. Click Edit > Cut.
    4. Select the folder object for which the cut folder will be moved above or as a child folder.
    5. According, click Edit > Paste as Child or Edit > Paste Above.

    About folder access rules:

    • Specific folders moved to specific folders: the initial folder will maintain its current member list and access controls during the copy and move transaction. The user peforming ther move can manually update members as needed.
    • Specific folders moved to inherited folders: the initial folder will maintain its current members list and access controls during the copy and move transaction. The user peforming ther move can manually update members as needed.
    • Inherited folders moved to specific folders: the initial folder will maintain its current member list and access controls and then inherit the members of the reception folder.
    • Inherited folders moved to inherited folders: the initial folder will maintain its current member list and access controls and inherit the members of the reception folder.
    • You cannot cut a regular folder and paste it as a child of a controlled folder.
    • You cannot cut a controlled folder and paste it as a child of a regular folder.
    • You cannot modify the structure of a controlled Folder that is in the Release state.
